  • Assists the fiscal officer and department manager with financial management of all accounts for the Department of Folklore and Ethnomusicology and its affiliated units, the Archives of African American Music and Culture, and external agencies the American Folklore Society and the Society for Ethnomusicology.
  • Monitors, maintains, and reconciles IU, grant, and IU Foundation accounts to ensure compliance with university policies and procedures.
  • Maintains records of financial transactions and compiles and analyzes information to prepare reports on a monthly basis and as requested.
  • Processes financial documents in the KFS system and verifies that information is correct and resolves all discrepancies.
  • Investigates and resolves any phone or email inquiries regarding procedures or account status.
  • Processes monthly and biweekly payroll and eDocs and serves as the personnel approver for the department. Processes all travel for the department.
  • Serves as purchasing and procurement card coordinator and reconciler with Chrome River.
  • Maintains key inventory as well as technology equipment and instrument inventory.
  • Processes all Visiting Scholars for the department and serves as liaison with International Services and processes J-1 and HB-1 visa applications for non-US citizen visitors and employees.
  • Prepares donor letters and assists with development efforts of the department. Provides technology assistance for faculty and graduate students. General Responsibilities
    • With minimal supervision, performs financial and administrative tasks related to processing financial or other administrative records.
    • Takes on more complex assignments and provides guidance to lower-level Financial Administration Coordinators.
    • Maintains records of financial transactions, compiles data, and prepares reports. May oversee the processing of documents into the university's central information systems (Travel, KFS, HRMS, etc.).
    • Investigates and resolves discrepancies that require more advanced knowledge and experience; following policies and procedures, recommends audits.
    • Assists in designing, documenting, and implementing processes.
    • Processes payroll and verifies accuracy of payroll information. Verifies accuracy of adjustments to payroll including supplements and garnishments.
    • Monitors financial accounts and ensures timely payments are made to payees.
    • Responds to inquiries regarding financial and/or personnel policies and procedures; takes the lead on the most complex cases within their scope of work.
    • Serves as liaison to department and/or other university divisions. QualificationsEDUCATION Required
      • High school diploma or GED Preferred
        • Bachelor's degree WORK EXPERIENCE Required
          • 4 years of relevant experience Preferred

                • Ability to expeditiously review and analyze detailed information
