Job Summary

Department-Specific Responsibilities

  • Manages the day-to-day operations of the undergraduate academic advising offices.
    • Interviews, hires, trains, and supervises student employees to assist with the daily operations of the advising office.
    • Front line communications: Oversees student, family, and general inquiries involving the undergraduate advising office. Interacts with students, families, and student services colleagues on a regular basis. May include in-person meetings.
    • Focuses on inclusion and student engagement, enhancing the student campus experience, supporting students in crisis and adversity, and resolving conflict.
    • Manages check-in advising kiosk (student scheduler check-in process), furniture, supplies, etc.
    • Manages Teams folders and Word Press site.
    • Manages all zoom accounts for UGRD advising and new student orientation.
    • Coordinates advising team meetings.
    • Generates and coordinates presentations.
    • Assists with new hire interviews, training schedules, and onboarding.
    • Oversees production of advising materials.
    • New Student Orientation:
      • Manages all aspects of New Student Orientation for Luddy, including but not limited to academic advising processes, communications, daily rosters, advising schedule, training, and managing ongoing major changes during the summer and spring sessions.
      • Works with the advising team to generate advising materials and form-building tools designed to support onboarding and advising initiatives.
      • Collaborates with staff in own department and other departments on shared student services goals and advising/retention initiatives, and events.
      • Collaborates with advising team to generate and manage systems and processes to support students.
      • Works with Luddy recording, IU Admissions, Luddy advising team, and director of advising to support external transfer admission efforts and transfer course evaluations.
        • Engages with students and tracks their progress from application through admission to new student orientation and enrollment.
        • Tracks transfer course evaluations and works with advising team, Luddy recording, directors of UGRD programs, and admissions to ensure transfer course work is evaluated according to Luddy best practices and recorded correctly on the student's transcript.
        • Assists the Director of Advising in the administration of policies and procedures associated with the delivery of undergraduate academic advising.
        • Focuses on streamlining policies and procedures and eliminating duplication of efforts.
        • Manages student scholarship review processes. Requires collaboration with administration, staff, and faculty from multiple Luddy School departments, and includes multiple student populations.
        • Collaborates with various Luddy and IU departments/partners.
        • Supports administration of the academic advising satisfaction survey to gather feedback to improve future advising initiatives and objectives. May include one-on-one meetings with students to discuss concerns.
        • Financial Operations
          • Manages p-card for advising office purchases.
          • Places orders for uniforms and/or meals for advising team; swag and/or meals for undergraduate events; business cards, name badges, office supplies, etc. General Responsibilities
            • Develops and implements programs and initiatives that touch on various/multiple student-related goals, such as enhancing and reinforcing academic engagement and experiential learning; increasing student engagement, wellness, and involvement; fostering learning, inclusion, and development; supporting students in crisis and adversity; and improving the student campus experience.
            • Interfaces directly with students by attending student programming events, advising student organization leaders, meeting one-on-one to discuss areas of concern on campus, and gathering satisfaction feedback from student participants to implement into future student services initiatives and objectives.
            • Collaborates with staff in own department and other departments, as well as academic and campus leaders, on shared student services goals, often coordinating funding to sponsor student programs and initiatives.
            • Projects outcomes for services offered at the program, department/division, or campus level. Measures and evaluates effectiveness of student services against projected outcomes; may prepare reports on impact to students and budget and may present to stakeholders on effectiveness and to secure funding for initiatives moving forward.
            • May serve on committees and perform student services research across the field of higher education and at peer institutions to identify and recommend best practices.
            • Plans and coordinates communications for student services initiatives to ensure student participation and engagement. Qualifications


              • Bachelor's degree in public affairs, counseling, social work, education, business, or related fieldPreferred
                • Master's degree in higher education student affairs or related fieldWORK EXPERIENCE

                      This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

                      $40,000 - $45,000 a year
